Does WorkBright Automatically Update My State Tax Forms or provide Labor Law Posters?

Within your account, WorkBright offers 3 core forms, the I-9, W-4, and W-9, which are automatically updated as new versions become available. State and federal-mandated forms, such as state tax forms and labor law postings, are not automatically included in your WorkBright account, but they can be with our Compliance Plus add-on.

This automation eliminates the need for manual form collection and ensures that all state-required forms are proactively updated, saving time and reducing errors.

With Compliance Plus, these forms are regularly monitored and updated by our team, ensuring you remain effortlessly compliant in this area and freeing up your time to focus on higher-value tasks.

What is Compliance Plus?

Compliance Plus is an optional enhancement to WorkBright’s existing federal form compliance features. With Compliance Plus, you can extend the same level of automated compliance management to state-mandated onboarding forms and labor law posters.

While WorkBright already updates federal forms like the I-9 and W-4, Compliance Plus goes further by covering state-specific requirements across all 50 states. This comprehensive solution ensures your onboarding process is 100% compliant from start to finish, regardless of where you’re hiring.

For example, North Dakota uses the federal W-4 form for state tax purposes, while also offering specific forms like the NDW-M (Military Spouse Withholding Exemption) and NDW-R (Withholding Exemption for MN & MT Residents).

How often are updates made?

WorkBright monitors for monthly form updates. If an update is available, it will be promptly coded and added to your account.

Will I be notified when changes are made?

Yes, our Client Enablement team will notify you when updates to forms have been made. The team will include the next steps for you to communicate to your staff.

How is this implemented?

After you contact us to implement Compliance Plus, we will send you an intake form to specify which states you need added to your account. You can also opt out of labor law postings if desired and only include State Tax Forms. With the intake form, you can indicate which states you would like added to your account. If a required state tax form is not available in the system, you can submit a Custom Form Request to have it added. Once added, WorkBright will maintain these forms to ensure compliance with state regulations.

Once we receive your intake form, we will add the forms for the requested state(s) to your account.

Labor law postings are packaged by state and updated by WorkBright, ensuring each state’s requirements are met and kept up to date.

Any time your employees log into their WorkBright portal and click on these postings, they will see the most up-to-date version of the form. Labor Law Posters can also be accessed within a document labeled "Compliance Plus." For further guidance, refer to the FAQ section on accessing Labor Law Posters.

Do my employees need to do anything?

Nope! They’ll just need to log in and acknowledge or complete any forms that you’ve assigned to them, just like other WorkBright forms.

Your employees will always see the most up-to-date versions of labor law posters. They will only need to acknowledge the form the first time; from then on, they will automatically see any updates.

What is the cost for this feature?

For Onboarding Customers with a Premium package, this feature is included! For Onboarding Customers with the growth package, this would be an add-on. It is also available as an add-on for our Standalone I9 customers with Growth or Premium packages. WorkBright provides preconfigured state tax forms, including equivalents to federal W-4 forms and other state-specific forms.
