Disabling the Form I-9, W-4, and W-9 is easy within the WorkBright system.
Note: If you disable a form, employees in that employment type will no longer receive it.
How employment types work in WorkBright.
They allow you to categorize staff and determine which forms they receive. By assigning the correct employee type, you can ensure that contractors and employees receive the appropriate forms for their roles.
• Employee/W-2 → Assigns both the W-4 and Form I-9
• Contractor/1099 → Assigns the W-9
• Other → Assigns none of these forms
If you want the form to remain available but don’t need it for certain employees, assign those employees to the “Other” employment type.
It’s also important to note that the W-4 and I-9 are tied together under the Employee/W-2 type. That means if an employee needs only one of those forms (for example, the I-9 but not the W-4), they will still be assigned both as long if both forms remain active.
Note: If employees are not receiving the W-4 form, ensure that their Employee Type is set to "Employee/W-2" and that the W-4 form is enabled in the settings.
Now that we have clarified what disabling means, let's look into how we can disable these forms.
Navigate to the Onboarding screen via the navigation bar.
Once there, you will go to the sidebar on the left side of the screen and select “Forms”.
Now that you are on the Forms page, you can scroll or use the search function to pull up your form (Form I-9, W-4, W-9).
For this example, let's edit the W-4.
Once you have found or pulled up the W-4 via search, hover over the far right end of the W-4, and a dropdown will appear. From that drop-down, select “Edit”.
This will take you to a new page Where you can edit the from.
In the first section, you will see a checkbox with Enabled next to it. The checkbox should be checked and filled in with blue. This indicates that the form is currently enabled.
Click this checkbox to remove the check and blue fill; this will indicate that you have now Disabled the form.
Now that you have disabled the form, go to the bottom of the page and click Save to confirm this update.
Once saved, you will be brought back to the main Forms page. At the top of the page, you will see a pop-up to confirm your update.
You will also see an indication on the row next to the form title labeled “Disabled”.
To enable the form again, follow the same steps, making sure the checkbox in the Enabled section is checked.
This will be the same step you would use for the W-9 and Form I-9.
Note: The Form I-9 will have additional editable functionality, but the core functionality to disable will be the same across all forms.

Common Issues and Troubleshooting
Issue: Contractors are receiving the W-4 form.
Solution: Verify that the contractor’s Employee Type is set to "Contractor/1099" or "Other."
Issue: Employees are not receiving the W-4 form.
Solution: Ensure the Employee Type is set to "Employee/W-2" and that the W-4 form is enabled in the settings.
