Your (Staff) Notifications

WorkBright sends you emails and/or texts based on your preference to let you know when you have forms to complete, when something needs your attention, and when a step is done. This article lists each notification you may receive and what it means.

Email or text? All of the notifications below can arrive by email. Text messages are only sent if your employer has text notifications turned on and you have agreed to receive texts.

When do they start? Your first notification is sent on the Notification Start Date your employer sets. You will not receive anything from WorkBright before that date.

Not all notifications apply to everyone. Some depend on the forms your employer assigns and the features they use, such as remote Form I-9 verification or E-Verify.

Welcome notifications

You receive one welcome notification on your Notification Start Date. Which one you get depends on whether you have used WorkBright before.

Initial Access (first time using WorkBright)

You have never signed in to WorkBright with this employer or any other. The message includes a link to get started. Your first step is to create a password.

Prior Access (you have used WorkBright before)

You have signed in to WorkBright before, with this employer or another company. You already have a password, so you will not be asked to create one. Sign in with your existing email and password to see your new forms.

If you have forgotten that password, use the Forgot your password link on the sign-in page.

Form reminders

If your employer sets due dates for your required forms, WorkBright reminds you until the forms are done. Reminders stop as soon as you submit the forms.

Forms Due reminder

The subject line reads "Your REQUIRED forms for [Company] - You have forms due in [#] day(s)." Reminders are based on your next due form and are sent:

  1. 10 days before the due date

  2. 5 days before

  3. 2 days before

  4. 1 day before

  5. On the due date

This reminder covers your employer's required forms and Section 1 of the Form I-9.

Forms Late Reminder

If a form is not submitted by its due date, it is marked late. You receive a late reminder the day after the due date, then every 3 days for up to 30 days. Late reminders stop when you submit the form, or if your employer removes the form or your account.

When your employer needs changes to a form

Submission Rejected

Your employer reviewed a form and needs you to complete it again. The message includes the rejection reason and a link to your dashboard. Open the form, make the corrections, and resubmit it.

New Submission Requested

Your employer has asked you to fill out one or more forms again. This message is sent 15 minutes after the request so that, if your employer asks for several forms at once, you get one message instead of many. It links to your dashboard.

After either of these, you may also start receiving Forms Due or Forms Late reminders until you resubmit the form.

Form I-9 notifications

The Form I-9 confirms you are allowed to work in the United States. You complete Section 1. Your employer, or someone acting for them, completes Section 2 by reviewing your identity and work authorization documents. Reminders for Section 1 are covered under Form reminders above.

I-9 Has Been Accepted

Your employer has reviewed and accepted your Section 1. This is sent by email or text only if your employer reviews I-9 submissions before accepting them.

Begin Remote I-9 Verification

The subject line reads "Begin Remote I-9 Verification for [Company]." This is sent right after your Section 1 is accepted, if your employer uses remote I-9 verification. It means you can now have your documents reviewed by an authorized representative, someone you choose who meets with you in person to complete Section 2.

Remote I-9 Verification reminder

The subject line reads "Reminder: Complete Remote I-9 Verification for [Company]." If Section 2 is not done yet, reminders are sent based on your start date:

  1. 10 days before your start date

  2. 5 days before

  3. 2 days before

  4. 1 day before

  5. On your start date

  6. Every day after your start date, for up to 30 days

If your employer has not entered a start date, you receive this reminder every day for 30 days after Section 1 is accepted. Reminders stop once Section 2 is completed.

Remote Reverification

Your employer has asked you to update your work authorization on your Form I-9, for example because a document you provided has expired. This is sent when your employer requests it.

E-Verify and Social Security number notifications

E-Verify Further Action Notice (FAN)

This applies only if your employer uses E-Verify. It means E-Verify could not confirm your information right away, and you have a Further Action Notice to review. The notice explains the reason and your options. It does not mean you are not authorized to work. Review it and respond as soon as you can.

SSN Applied For

You selected that you have applied for a Social Security number but do not have it yet. This message links to an Update Your SSN page where you can add your number to your Form I-9 once you receive it. You get the first message when you finish your profile, then a reminder every 7 days for 21 days (up to 3 reminders).

Account notifications

Reset Password

Sent right away when you click Forgot your password on the sign-in page and enter the email address on your account. Follow the link in the message to set a new password. If you did not request a reset, you can ignore it.

Not receiving notifications?

  • Check your spam or junk folder. WorkBright emails are sometimes filtered there.

  • Check the date. Nothing is sent before the Notification Start Date your employer set.

  • Confirm your contact details with your employer. If your email address or phone number was entered incorrectly, your employer can correct it and resend your welcome message.

  • Texts need your consent. If you expected texts but are only getting emails, your employer may not use text notifications, or you may not have agreed to receive them.

For anything else, contact your employer's HR or onboarding team. They manage your forms, due dates, and contact details.
