Updating Your E-Verify Web Services Password

Every three (3) months, E-Verify’s Web Services requires you to change your user passwords for security reasons. If you have the WorkBright E-Verify feature, then WorkBright is using one of these Web Services log-ins to connect with your E-Verify account.

If you encounter an 'Authentication Failure' message or a notice about invalid or expired Web Services credentials, it indicates that your account's credentials need to be updated. Until this is resolved, E-Verify cases will not be processed.

Note: Failure to update these credentials can result in authentication errors and delays in case processing, which may disrupt the timely verification of I-9 forms.

When you change the password in E-Verify because of this requirement, you will ALSO need to update the password in WorkBright.

If the password is not updated, all I-9 forms in your account will remain in submitted status and will not be transmitted to E-Verify, causing processing delays.

Step 1: Change the Password in E-Verify

To change your Web Services account password, have your Program Administrator log in to the E-Verify website.

In the top right, click the Program Administrator's name, click Company Account, and Manage Users.

Properly managing user roles in E-Verify is also crucial. Ensure that the Web Services role is assigned to the appropriate user, and confirm that they update the corresponding credentials in WorkBright.

You will see a "password change required" under status. Click your Web Services Credentials ID under User/Web Services ID to access the change password button.

From here, scroll down, and under ‘Password,’ click "Change Password". Enter the desired password in the boxes and click "Save".

Step 2: Copy the New Password and update it in WorkBright

Go to Settings > E-Verify and click “Update Credentials.” You will enter the same

Here you will keep the same username and update it with the newest password you created.

Important Note: Web Services is tied to two different IDs:

Company ID

If you edit your company ID / E-Verify account, you will lose ALL access to any open cases created under your previous account. This is irreversible, and WorkBright will not be able to assist with the open cases. The open cases would have to be manually managed in E-Verify directly.

Web Services User ID

If you edit your web services user ID(s) to a new user, they will lose ALL access to any open cases created under their previous user. This is irreversible, and WorkBright will not be able to assist with the open cases. The open cases would have to be manually managed in E-Verify directly. E-Verify recommends using a generic account email and never modifying or switching users when using Web Services through a software provider.

You will see a warning at the top of the E-Verify configuration page that reflects this warning.

Verifying Case Processing

After updating your credentials in both E-Verify and WorkBright, check the status of your E-Verify cases to ensure they are being processed correctly.

That's it! You're good to go (for another 3 months).
