Transferring Ownership of your E-Verify account

If the person who manages your E-Verify account is leaving your company or changing roles, you will need to hand off the account to someone new. This guide walks you through transferring ownership in E-Verify and ensuring that your WorkBright E-Verify integration continues to work.

Note: E-Verify logins can't be reassigned from one person to another. To transfer ownership, the current Program Administrator adds the new owner as a Program Administrator, then removes the old account.

Before You Start

Your E-Verify account can have users with three different roles. You can see each user's role on the Manage Users page in E-Verify.

  • Program Administrator: Manages users and the company profile. Every E-Verify account must have at least one.

  • General User: Can create and manage cases only.

  • Web Services Access: The login WorkBright uses to connect to your E-Verify account.

Important Note: If the person leaving also set up your Web Services user, do not delete or switch that Web Services user until you read the "Web Services User" section below. Changing the Web Services user ID in WorkBright removes access to any open cases created under the previous user. This is irreversible, and those open cases would have to be managed directly in E-Verify.

Transferring Ownership

Step 1: Add the new owner as a Program Administrator

The current Program Administrator logs in to E-Verify. In the top right, click the Program Administrator's name, then click Company Account, then Manage Users. Click Add User.

Enter the new owner's email address, choose Program Administrator as the user role, and click Next. Accept the system-generated user ID or create a new one, then follow the prompts. Review the information and click Create User Account.

Step 2: Have the new owner sign in and complete training

The new Program Administrator signs in to E-Verify with the credentials they receive by email. They must complete E-Verify's online training before they can create or manage cases.

Step 3: Update the points of contact in E-Verify

From the Company menu, open the company profile and replace the departing person's contact information with the new owner's.

Step 4: Update the Program Administrator information in WorkBright

Log in to WorkBright. Go to the Settings screen and click E-Verify in the left menu. Update the Program Administrator ID, name, phone number, and email with the new owner's information from E-Verify.

Step 5: Remove the previous owner's account

Once the new Program Administrator has access, they can delete the previous owner's Program Administrator account from the Manage Users page. If the previous owner is also your Web Services user, see the next section first.

If the Previous Owner Is Also Your Web Services User

WorkBright connects to E-Verify through the Web Services user, not the Program Administrator. Before you delete or change that user, check whether you have any open E-Verify cases in WorkBright. See Managing E-Verify Cases in WorkBright.

If you need to set up a new Web Services user, follow Integrating an EXISTING E-Verify Web Services-Enabled Account to enter the new credentials in WorkBright.

Important Note: Open cases created under the previous Web Services user will no longer be accessible in WorkBright. They would have to be managed directly in E-Verify. E-Verify recommends using a generic account email for your Web Services user so it doesn't need to change when people leave.

If the Previous Program Administrator Has Already Left

If no one with Program Administrator access is available, you can't make this change yourself. Contact the E-Verify Contact Center. They can switch an existing General User to Program Administrator or add a new Program Administrator.

Corporate Administrator Accounts

If your company uses a corporate account with multiple locations, corporate administrators are handled separately. Only another corporate administrator can add or delete a corporate administrator. To add one, go to Corporate Account, select Add New Administrator, choose the role, and enter the person's email address, name, and phone number.

Changing Company Ownership (Mergers and Acquisitions)

That's it! Your new owner is set up, and your E-Verify cases will keep processing in WorkBright.
